[the square] is a community-centered creative studio and gathering place built on mutual respect, collaboration, and shared care. This agreement sets out how we look after the space and one another during your visit.
The Square Portland LLC operates [the square] at 34 Preble Street, Portland, Maine. This agreement applies to your booking or activity, including setup and cleanup. Please ask us about anything you would like clarified before signing.
Respecting one another
Help keep [the square] welcoming to people of all backgrounds. Treat others with consideration, respect personal boundaries, and make room for the creative work happening around you. Harassment, discrimination, intimidation, unwanted contact, threats, and abusive behavior are not welcome here. Content or conduct promoting violence or hate toward protected groups is not permitted.
If you are organizing a session or event, share these expectations with your guests and take responsibility for their conduct. Let the on-site manager know about concerns, and respect anyone who raises one in good faith.
Using the space and equipment
Use the rooms and equipment approved for your booking and follow staff instructions. Ask for help with unfamiliar gear. Check with a manager before moving equipment out of the building, attempting repairs, or entering restricted areas. Tell us promptly if something is damaged or not working properly.
Take reasonable care during your activities, use hearing protection when appropriate, and keep exits and walkways clear. Keep food and drinks in designated areas, away from equipment. Smoking and vaping are not permitted inside or directly outside the entrance. Weapons and illegal substances are not permitted. Alcohol requires our advance approval and must follow the law and your booking terms; it may not be sold or bundled with admission without the required approvals and licenses.
Being a good neighbor
People live upstairs, and others may be working nearby. Keep sound within the limits agreed for your booking, and arrive and leave considerately. Amplified sound is not permitted between 9 PM and 9 AM unless a separate written event agreement provides an approved exception.
Leaving the space ready for the next person
Allow time within your booking for setup, cleanup, and departure. Put furniture, instruments, and cables back where they belong, clean up spills, and use the trash and recycling bins. Take your belongings with you and leave shared areas as you found them or better.
Personal belongings and shared responsibility
Please look after your belongings and keep backups of your recordings and files. We do not insure personal property or provide long-term file storage. Except where the law requires otherwise, we are not responsible for personal belongings or files that are lost, stolen, or damaged.
You are responsible for damage you or your guests cause to the space or equipment, excluding ordinary wear and tear. Please report damage promptly so we can work out what needs to be repaired or replaced.
To the extent allowed by law, you agree to cover claims made against The Square Portland LLC and its team by other people, including reasonable defense costs, arising from your or your guests' conduct during the booking. This does not apply to the extent a claim is caused by our negligence or willful misconduct. Nothing in this agreement asks you to give up claims arising from our own negligence or wrongdoing.
Working things out
Follow reasonable directions from the on-site manager about the space, equipment, sound, and guest conduct. We may stop an activity or ask someone to leave if their behavior is unsafe, seriously disruptive, damaging, or substantially contrary to this agreement. A manager may end a session or event when necessary. For urgent assistance, contact the on-site manager; call 911 in an emergency.
Your booking terms
Your booking confirmation and any separate rental agreement set the price, payment and cancellation terms, approved hours, rooms, and services. A separate event agreement controls where its terms differ for that event. Any exception needs our written approval. This agreement does not grant ongoing access to the space. Maine law applies.
Signing
By signing, you confirm that you have read and understand this agreement and agree to follow it. If you are organizing the booking, you will share the relevant rules with your guests. You agree to use electronic records and signatures and intend your electronic signature to count as your signature on this agreement. You may save a copy for your records.
